MyWaitlist onboarding is designed to be simple, flexible, and self-paced, allowing you to complete your setup when it suits you.
Once our Onboarding Team has been notified of your new service, we'll send you an email outlining the information we need to create your MyWaitlist service. If your service already exists on one of our platforms, we'll extract your existing setup where possible, saving you time and reducing manual data entry.
Once your MyWaitlist service has been created, you'll receive:
- Your login details.
- Access to the self-paced onboarding course.
- A setup checklist to guide you through each step.
These resources will walk you through configuring your service and preparing MyWaitlist so families can begin joining your waitlist with confidence. The blue text, will open up an instruction article for you to follow. Once the step is completed, you can move on to the next step.

1. Initial Setup & Configuration
- Centre Profile: Check & Update your service's operational contact details and email signatures so families receive accurate and professional correspondence.
- Check Room Set Up: Configure the teaching rooms in your dashboard based on the service's specific operational needs and age groups.
- Add in your Logo
- Centre Email Signature
- Set up your Automated Settings
- Set up Billing Information Administrators can automate the collection of waitlist registration fees, bonds, and deposits by integrating their MyWaitlist account with the Xplor Debit Success portal.
2. Lead, Waitlist & Tour Capturing
- Online Forms: Generate and embed your custom HTML waitlist, lead capture, and tour booking forms on your main website.
- Decide whether you want to use Lead Forms or Waitlist Forms or both!
Once you decide, then you can follow the set up below.- Set Up your Lead Form (Optional)
- Set Up your Waitlist Form
- Set Up Custom & Priority Questions
- Provide your Forms to your Website developer to add onto your Website
- Task Management: Set up your automated, to-do lists to schedule follow-up emails, phone calls, and SMS reminders for families at every stage of their enrolment journey
- Import Existing Waitlist if you choose
3. Tour Calendar
- Tour Scheduling: Sync your calendar with the online tour scheduling tool to allow families to book facility appointments directly from their own devices
- Update your Update your Email Templates & Your Tour Email Templates
- Once you are up to here, you can test your workflow and fill out the Enquiry Link as if you were a parent looking for care. Go to your Centre’s Website and fill out the Lead/Enquiry Form.
- Then you are ready to publish on your Website for potential families to use
